Navigate the Hybrid Work Transition Effectively Like Bepensa

Find out what made Bepensa’s move to hybrid work model so successful

Bepensa, a prominent Mexican company, faced a major challenge when it needed to transition one of its offices to a hybrid working model. To ensure a smooth and efficient change, they sought a system to manage desk reservations and support the transition. Ultimately, Bepensa selected the Deski desk booking platform to assist throughout the process.

Challenge: Adapting to Hybrid Working

The COVID-19 pandemic required Bepensa to adopt a hybrid working model, necessitating a reduction in office space. To manage the sharing of limited desks among employees, Bepensa’s HR and IT teams implemented the Deski desk booking system.

When we were searching for a booking app, the most important factor in choosing Deski, aside from the features, was the availability of customer support. Their team was very attentive to our needs and quickly helped me personalise the system for Bepensa.

To ensure the Deski system was tailored to Bepensa’s specific requirements, it was set up with the following key features:

  • Departmental Groups: Employees were organised into groups according to their departments.
  • Dedicated Desks: Each department was allocated a certain number of bookable desks.
  • Shared Resource Pool: A pool of desks was available for any employee to reserve, regardless of department, encouraging flexibility.

Results: Efficient Desk Sharing

Deski’s implementation enabled Bepensa’s 300 employees in Mérida to share 84 desks efficiently on a daily basis. Buoyed by this success, Bepensa expanded Deski’s use to two further branches, supporting around 400 employees across Mexico and the Dominican Republic.

Promoting Workplace Innovation

Seeing Deski’s potential beyond desk booking, Bepensa broadened its application to foster workplace innovation. They introduced an «activities» booking system that allows senior managers to participate in employees’ daily tasks. This initiative helps managers gain first-hand insight into company operations by experiencing employees’ responsibilities directly. As of early 2025, Bepensa is preparing for the third edition of this project, underscoring its commitment to continuous improvement and innovation in the workplace.
